Society Rules

Name

1. The name of the Society shall be: East Barnet Old Grammarians Golf Society (hereinafter called "the Society")

2. The society is an authorised section of the East Barnet Old Grammarians Ltd. whose headquarters are the Ludgrove Club, Dollis Brook Walk, Barnet, Herts.

Members

3. Election to membership shall be by a resolution of the Executive Committee. Applications for membership shall be made to the Secretary.

Presidents & Vice-Presidents

4. The President shall be elected at an Annual General Meeting and his term of office shall be two years, which includes a Committee post.

5. Vice-presidents may be elected annually at the Annual General Meeting.

Officers

6. The Officers of the Society shall consist of:

i. The President.

ii. The Captain.

iii. The Secretary.

iv. The Treasurer.

7. Excepting the President, the Officers shall retire annually on the date of the last Society meeting of that year. They shall be eligible for re-election at the Annual General Meeting.

Executive Committee

8. The affairs of the Society shall be managed by an Executive Committee consisting of the following, namely:
i. the Officers. ii. the Vice-Captain. iii. the retiring Captain. iv. one other member of the Society.

9. At meetings of the Executive Committee all matters shall be decided by vote, and in the event of an equal number of votes being cast on both sides in any matter the Chairman shall have a second or casting vote.

10. At least one Officer shall be present at meetings of the Executive Committee.

11. The quorum at meetings of the Executive Committee shall be three.

12. Minutes shall be taken of all proceedings of the Executive Committee and shall be open to the inspection of any members of the Society applying to the Honorary Secretary therefore.

Entrance fee & subscriptions

13. An entrance fee of £5 shall be payable by each member on election, this Entrance Fee includes the cost of a Society Tie.

14. The Annual Subscription of the Society shall be decided at a General Meeting.

15. No member shall take part in a Society meeting or competition unless his subscription shall have been paid for the year.

16. Failure to pay the subscription in one year shall result in that member losing his membership of the Society.

17. Any application for re-joining after a member has been excluded for non-payment of his subscription shall be considered by the Executive Committee in the normal way. On re-election the member may be liable to pay the Entrance Fee.

Removal & Expulsion

18. It shall be the duty of the Executive Committee if at any time they shall be of the opinion that the interests of the Society so requires, to invite any member to resign his membership withn a specified time and in default of such resignation to consider to consider the expulsion of such member, provided that before a vote is taken the Member shall be afforded a reasonable opportunity of making representations oral, or written to the Executive Committee. If the majority of then Executive Committee shall vote for expulsion of the Member he shall forthwith cease to be a member of the Society.

Byelaws

19. The Executive Committee shall from time to time, repeal and amend all such byelaws and regulations (not inconsistent with these rules) as they shall think expedient for the internal management and well-being of the Society.

All byelaws and regulations made by the Executive Committee under this rule shall be binding upon Members until repealed by the Executive Committee or set aside by a resolution of a General Meeting of the Society.

Financial Year

20. The Financial Year of the Society shall be the twelve months ended the 31st March.

General Meetings

21. The Annual General Meeting shall be held either on the date of the last Society meeting of the year or not later than the 30th November in each year upon a date and at a time to be fixed by the Executive Committee.

22. The Executive Committee may at any time for any special purpose call an Extra-Ordinary General Meeting and they shall do so forthwith on the requisition in writing of any fifteen members stating the purpose for which the meeting is required.

23. Not less than fourteen days prior to the date of a General Meeting a notice in writing shall be sent to all Members of the intention to hold a General Meeting.

24. At all General Meetings of the Society a person appointed by the Executive Committee shall take the Chair. Every member shall be entitled to one vote upon every motion and in the case of an equality of votes the Chairman shall have a second or casting vote. The Executive Committee shall have the power, if they think fit to make regulations for enabling members unable to be present to vote by proxy or in writing.

25. Ten members shall constitute a quorum at any General Meeting, but if on the date specified in the notice given persuant to Ruke 23 a quorum is not available, the said General Meeting shall take place on a day appointed by the Executive Committee not less than seven days after the date specified in the said notice and upon that later date there shall be no minimum requirement as to a quorum.

Auditors

26. At every Annual General Meeting one or more Auditors shall be appointed to serve as Auditors for the ensuing year.

Alteration to the rules

27. No alteration of or addition to these rules shall be made except by a one third majority of Members present at a General Meeting. At least one month's previous notice in writing shall be given by a Member to the Honorary Secretary of the Society of the intention to propose an alteration of or an addition to the Rules.

Interpretation of rules

28. The Executive Committee shall be the primary authority for the interpretation of these Rules. All matters not provided for by these Rules shall be dealt with by the Executive Committeeas they may determine.

Rules of Golf

29. The Rules of the Game of Golf shall be those adopted from time to time by the Royal and Ancient Golf Club of St Andrew's, subject only to such additions and modifications as the Executive Committee may be consider necessary to meet the requirements of the Society. A list of such additions and modifications which shall take effect as Bye-laws shall be posted to each Member.

Handicapping

30. Members, on election to the Society, must furnish to the Secretary full particulars of their handicap (if any) in other clubs and societies, and must also inform the Secretary from time to time of any reductions made in other clubs of which they are members, under penalty of disqualification.

31. Members must, if desired by the Executive Committee, put in at least two cards from which the Executive Committee will fix the handicap; in the meantime the member's handicap will be decided by the Executive Committee.

32. The Executive Committee shall have the power to reduce or increase the handicap of any Member of the Society for competitions played under the organisation of the Society. Those members with an official Club handicap shall not have a higher handicap with the Society.

33. A new member who is not a member of a Golf Club and therefore does not possess an official handicap shall be allotted an eighteen handicap for two meetings by the Executive Committe, after which he shall be allocated a Society handicap and be eligible for Society Trophies.

34. All Member's Society handicaps will be reviewed by the Executive Committee after the last Society meeting in each year.

35. A member may appeal against his Society handicap by writing to the Secretary giving full details of his case. This will be considered by the Executive Committee who may request the Member to appear before them. Their decision shall be final.

36. All handicapping in the Society shall be based on the last six competitions.

Bye Laws

37. As a Member of the Society all Members are bound to observe any Rules and Bye Laws laid down by the parent Association, East Barnet Old Grammarians Ltd, where they are applicable.

38. Members should be aware of the necessity of observing the Rules of Golf at all times and to extend the necessary courtesies to members of any Golf Club which is at the time playing host to the Society.

39. Members must wear the Society Tie at all meetings of the Society. Failure to do so will result in a fine fixed by the Executive Committee. The proceeds of monies received by the way of fines shall be donated annually to a Charity selected by the Captain.

40. Members should be aware of and observe the Etiquette of Golf. A copy of the Etiquette of Golf shall be given to each Member.
